Big Rock Chiropractic, Physiotherapy & Massage takes your privacy seriously. This page explains what information we collect, why we collect it, and your rights as our patient or website visitor.

We comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).

What We Collect

Through our website and clinic, we may collect:

  • Contact details — name, email, phone, mailing address — when you book, get in touch, or respond to one of our social media ads

  • Health information — medical history, symptoms, treatment notes — collected only during in-clinic appointments and stored in your patient file

  • Appointment details — services received, dates, payment status — stored in JaneApp, our booking system

  • Website analytics — pages visited, device type, approximate location, referring source — collected anonymously through cookies

We do not collect health information through advertising forms or our website contact form.

How We Use It

  • Book, deliver, and follow up on appointments

  • Communicate with you about your care and remind you of upcoming visits

  • Process payments and direct-bill insurance where authorized

  • Measure how well our advertising and website are performing

  • Comply with healthcare record-keeping laws in Alberta

We won't use your information for anything else without asking you first.

Who We Share It With

We share information only with service providers we need to run the clinic:

We do not sell or rent your personal information.

We may also disclose information when required by law or to protect the safety of our patients and staff.

Advertising & Marketing

If you respond to a Big Rock ad on Facebook or Instagram — including submitting one of Meta's "Instant Forms" — the contact details you provide (typically name, email, phone, preferred callback time) come straight to our front desk so we can follow up about the service you asked about.

We may also share hashed (one-way, anonymized) identifiers such as email and phone with Meta and Google for the purpose of measuring how well our ads perform. Hashing is irreversible — these platforms cannot recover your original information from a hash.

You can opt out at any time by:

  • Adjusting ad preferences directly on Meta or Google

  • Blocking cookies in your browser

  • Asking us to remove you from any advertising list — just email [hello@bigrockchiro.ca]

Cookies

Our website uses cookies for essential functions, anonymous performance measurement (Google Analytics), and advertising measurement (Meta Pixel). You can disable cookies in your browser settings, though some parts of the site may not work as expected.

Security

We safeguard your information with encrypted website connections (HTTPS), restricted access to patient records, regular staff privacy training, and secure storage of physical and electronic files. No system is 100% secure — if a breach affects your information, we will notify you by email within 72 hours of becoming aware of it, as required by PIPEDA and Alberta PIPA.

Your Rights

Under Canadian and Alberta privacy law you can:

  • Ask to see what personal information we hold about you

  • Ask us to correct anything inaccurate

  • Withdraw consent for non-essential uses (like marketing emails) at any time

  • Ask us to delete information, subject to legal requirements — note that Alberta requires us to retain patient health records for a minimum of 10 years after your last visit

If we can't resolve your concern, you can file a complaint with:

Retention

  • Patient health records: Minimum 10 years from last visit (Alberta law)

  • Booking and contact form data (no booking made): Up to 24 months

  • Advertising form responses (no booking made): Up to 12 months

  • Website analytics: Anonymized, kept up to 26 months

  • Marketing email lists: Until you unsubscribe

Children

Care for patients under 18 — including infants and children — is arranged through a parent or legal guardian. We do not knowingly collect personal information directly from anyone under 18 through our website or advertising forms.

International Transfers

Some of our service providers (Meta, Google, JaneApp, Squarespace) store or process data in the United States. By using our services, you consent to this transfer. We require these providers to maintain protections in line with Canadian privacy law.

CASL (Canada's Anti-Spam Law) Compliance

When we send you emails or text messages — for example, appointment reminders, follow-up notes, or occasional updates about clinic services — we follow Canada's Anti-Spam Law:

  • We only send commercial messages to patients and prospects who have given us consent (either by booking an appointment, contacting us, or responding to one of our ads)

  • Every email clearly identifies Big Rock Chiropractic as the sender

  • We use accurate subject lines that reflect the message content

  • Every marketing email includes an unsubscribe link, and we honour unsubscribe requests within 10 business days

  • Transactional messages required for your care (e.g., appointment confirmations and reminders) are not subject to unsubscribe — these are part of the service you have booked

Changes to This Policy

We may update this policy from time to time. The "Last Updated" date at the top reflects the most recent change. Material changes will be communicated by email to active patients where appropriate.
